The main purpose of your role
We are looking for an experienced HR assistant to join our global Global People and Culture (HR Consultancy Services and internal HR) team to cover for maternity leave.
As an Administrator within HR Services at Mauve Group, your role is integral to supporting and coordinating both internal HR operations and the Global HR Consultancy team. You will contribute to a range of HR consultancy administrative processes and internal HR procedures, with a focus on consultancy engagement and coordination, as well as supporting the full employee lifecycle.
Due to the international nature of the role, you may occasionally be required to work outside normal working hours to support business needs across different time zones. Any such additional hours will be managed in line with company policy and applicable employment legislation.
The role may also require occasional travel and attendance at a local office, as reasonably required.
What will you be doing as the HR Services Administrator?
- Assisting in developing and implementing HR services consultancy processes, policies, procedures, and handbooks.
- Assisting with the review and updating of the Mauve Staff Handbook.
- Providing administrative support across the full employee and contractor lifecycle, including recruitment, onboarding and offboarding.
- Formatting job descriptions and adverts, coordinating interviews, and supporting screening activities.
- Supporting pre-employment checks including references, right-to-work, and remote working assessments.
- Maintaining accurate and confidential employee and consultant records, ensuring data integrity within HR systems (e.g. Sage HRIS).
- Managing HR and specialist inboxes and acting as a key point of contact for administrative queries.
- Preparing and formatting contracts, letters, templates, and general correspondence.
- Supporting compliance with HR policies, procedures, and contractor protocols.
- Maintaining employee records including occupational health, benefits, sickness, and probation tracking.
- Supporting learning and development administration, including internal initiatives such as Mauve Academy.
- Assisting with organisational updates such as organisational charts and internal documentation.
- Supporting performance management processes and tracking associated data.
- Providing administrative support for engagement and recognition initiatives.
- Processing consultant and contractor invoices, ensuring accuracy and alignment with agreed time schedules.
- Supporting HR projects through coordination, research, and presentation preparation.
- Assisting with internal communications and the distribution of key HR messages.
- Managing day-to-day administrative tasks including scheduling meetings and handling correspondence.
- Supporting invoicing, budget tracking, and general financial administration within HR.
- Accurately documenting HR activities and supporting regulatory information requirements.
Requirements
To thrive at your role, we expect you will have the following:
Qualifications
Essential:
- High school diploma, A / I Levels, Lykeio, KCSE, Baccalaureate, Leaving Certificate (LCA), National Vocational Qualification (NVQ) Level 3, or equivalent.
Desirable:
- Bachelor’s degree in any subject / CIPD level 3 or equivalent and a second language.
Knowledge and experience
- Minimum of three years of experience in HR/consultancy administration.
- Invoice administrative experience.
- Demonstrable experience of working with a range of HR systems and processes as well as with multiple stakeholders.
- Experience of working with Microsoft products.
Skills and personal attributes
- English - Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities.
- Ability to handle sensitive information with discretion.
- Attention to detail.
- Proficient in using Microsoft products including power point.
